Sync your Google Calendar to Mentaya

You can integrate your EHR’s calendar (ex: Simple Practice, Theranest) to view your sessions in Mentaya.

Follow these steps to sync your Google Calendar with Mentaya:

1. Include full names in exported calendar events

  • Make sure that session events include your clients' full first and last names in the title. If a session event is missing either one of those, our system will be unable to match them to your clients in Mentaya.

  • In SimplePractice, you can set this on the calendar settings page. Select the last option for First Name, Last Name display of client names in exported calendar events.

  • On TheraNest/Ensora, you can set this by clicking on your profile picture and navigating to "My profile and settings" and then clicking the "Preferences" tab. Make sure the highlighted option is unchecked.

  • If you're using a different EHR, the setting should exist somewhere, but it may look different than these examples. If you are syncing from an internal Google Calendar, make sure that your clients' full names are included in the event titles.

2. Sync your EHR’s calendar with Google calendar.

  • Follow the instructions in your EHR to sync your calendar to Google.

3. Sync your Google calendar to Mentaya

  • Go to Settings > Practice Settings and in the Scheduling section click the box that says Google Calendar Sync.

  • This will direct you to a Google OAuth page, where you can select a Google account to sync your calendar from. On the next page, make sure that you grant Mentaya permission to access your calendars, which may not be enabled by default:

4. (optional) Select a specific calendar to sync from

  • By default, the calendar sync will look for a calendar named "SimplePractice" in your Google calendars and sync that, since it's the default name for calendars synced from Google calendar. If you've renamed that calendar or are syncing from a different EHR platform, you can edit which calendar is synced by clicking the edit button in your scheduling settings:

  • This will open a popup that will let you select a specific calendar shared from your Google account. Select the one you want to use and confirm by clicking the "Update" button:

5. (optional) Manually sync sessions.

  • The calendar sync should happen automatically, but if you're not seeing anything in your Sessions tab you can try to manually re-sync by clicking the sync button in your scheduling settings:

  • Note: This syncs sessions from your practice's linked calendar(s) into Mentaya, starting from that day. Please note that this will only sync sessions for clients who have been invited to Mentaya.
