Some insurance companies may require private pay therapists to be registered out of network. This article will clarify the reasons behind this requirement, how it differs from in-network paneling, what documents are needed, and the overall process involved.

Why are insurance companies asking for me to be registered out of network?

When insurance companies don’t recognize your name, NPI, or tax ID combination, they will need to add you to your database in order to process out-of-network claims and get your clients reimbursed.

How is this different than paneling in network?

Being registered out of network does not imply a contractual agreement with insurance companies. Therapists remain fully out of network and continue to charge their private pay rates. The registration process is essentially a verification step to confirm the provider's legitimacy.

What do I need to provide to insurance companies for OON registration?

The requirements for out-of-network registration vary by insurance company. They may include:

  • Date of Birth

  • SSN (even if you are using an EIN)

  • Copy of your licensure/certification document

  • A completed and signed W-9 form (just page 1 of https://www.irs.gov/pub/irs-pdf/fw9.pdf)

  • CP 575 letter or 147-C letter from the IRS (for proof of your EIN)

How long does this process take?

The duration of the registration process varies depending on the insurance company. It typically takes around 2 to 4 weeks. Patience is advised during this period, as processing times may differ.
